Privacy notice - Discharge process questionnaire 2024

This privacy notice is for all respondents who are completing our survey on the management of the supply of unlicensed liquid medicines to children. Some of the information we are collecting includes your personal data.

Your information is being collected by the RCPCH. We will use this information only in regard to this specific piece of work on unlicensed medicines. Your details will not be shared with any other organisations without your consent.

Who we are?

What information will we be collecting? 

RCPCH runs surveys to obtain information on your experiences and opinions. As part of this survey, we will collect some identifiable information (organisation, occupation and possibly email address), and there are free-text boxes in which you could potentially enter information that could be used to identify you.  All the information collected will come from you and any identifiable data in free-text boxes will be redacted prior to publishing.

Why do we collect this information?

Completion of this survey is voluntary. However we do encourage all individuals to submit data in their, and the College’s, legitimate interest as it will help improving the management and safety of medicines during the transition from hospital to home care our services. By completing this survey, you are agreeing for the raw data that we collect, which includes personal information about yourself, to be used for the following purposes: 

  • To assess the robustness of the discharge processes for paediatric patients.Ìý
  • To identify areas of improvement and share best practices to enhance the overall discharge process.Ìý
  • Share the results in aggregated format with all RCPCH members, as part of a summary report and action plan.  
  • To aid the influencing of national decision makers.  
  • To cross-reference against existing data to identify any changes over time.Ìý

At the end of the survey, we also ask for your consent to contact you again, to discuss your responses further.  You are under no obligation to provide your email, and can withdraw your consent at any time by contacting Jevgenia.Kutakova@rcpch.ac.uk. If you withdraw your consent, we will suppress your email address and will not contact you again for this survey.Ìý

Who might we share your information with?  

Your responses will be stored securely on the RCPCH network and only accessed by RCPCH staff and members of the RCPCH/Neonatal and Paediatric Pharmacy Group (NPPG) Joint Standing Committee on Medicines. Your personal data will not be transferred outside of the EU.  

We will never publish raw data. If we want to publish data, any data that could be used to identify you will be removed or changed and only anonymised data will be used.  

Transferring information outside of the UK 

To provide some products and services we, or our data processors, may transfer and process information in countries outside of the UK. Some of these countries, such as those in the EEA, will have an officially recognised equivalent level of protection to the UK (adequacy decision). A list of these countries can be found via the . Where there is no adequacy decision, we will take all reasonable steps necessary to ensure that your information is protected by having in place a recognised safeguard with our partners and suppliers, such as regulatory approved UK International Transfer Agreements, Binding Corporate Rules or Codes of Conduct.

What rights do I have? 

You have several rights in relation to the data we process about you: 

  1. You have the right to request a copy of the information we hold about you.Ìý
  2. You have the right to change any factual errors or inaccuracies.Ìý
  3. You can ask that we restrict the processing of your personal data so we only store it but undertake no further processing.   
  4. You have the right to object to processing.  
  5. You have the right to withdraw your consent to be contacted after the survey.Ìý

If you make a request we have one month to respond to you.  

All personal data will be processed in accordance with data protection legislation and we have a legal duty to protect any information we collect from you. We have measures in place to ensure your data is securely and safely stored. You do have the right to complain to the ICO if you have concerns about the way your personal data is being handled: casework@ico.org.uk.Ìý

How long do we keep hold of your information for? 

The raw survey data will be kept until the report summary report has been approved and published. After this, we will only keep anonymous data that is necessary for historical or research purposes until it is no longer required for this purpose.Ìý
